The problem

The association held extensive compliance standards, templates and guidelines. Members could not get at any of it efficiently. Documents took hours to produce, queries were handled manually by staff, and members were losing tenders because their compliance process was slow and inconsistent.

  • Fragmented knowledge. Standards, templates and guides scattered across PDFs and SharePoint.
  • Slow document creation. A SWMS or toolbox talk took two to four hours to produce by hand.
  • High manual query load. Staff answered the same member questions repeatedly.

What we did

We built a knowledge layer on the association's own content, so every answer traces back to a document the association already stands behind.

  • Ingested the compliance library. Standards, templates and guidelines structured into a retrieval augmented knowledge base.
  • Document generation. Members produce SWMS, toolbox talks and compliance documents in ten to twenty minutes through guided prompts.
  • An always-on query assistant. Plain language questions get instant, cited answers, replacing manual handling by staff.
  • A phased rollout. Phase one is delivered. Phase two adds CRM integration and analytics. Phase three adds ISO guidance and tender readiness tools.
